TSheets is a cloud-based time tracking and scheduling platform. The main advantages of TSheets include ease of use, great customer support, and integration with accounting software. The main disadvantages are high pricing, reports that are difficult to read, and mobile app bugs. For a more detailed review of the platform, read on.

Key Features of TSheets

TSheets comes complete with the main features below:

  • Full mobile optimization
  • iPhone compatible app
  • GPS tracking
  • PTO tracking and accruals
  • Android compatible app
  • Web-based
  • Payroll integration
  • Timesheets approvals
  • QuickBooks Integration
  • Various other notable payroll and accounting integrations

Problems TSheets Helps Solve

The Difficulty That Comes From Reading Paper-Copy Timecards

TSheets removes the problems associated with reading paper copies of timecards, by enabling your employees to keep track of their time automatically in several unique ways. They can:

1. Use an iPhone or Android app to track time.

2. Tweet their time through Twitter if they are working overseas.

3. Text in their time.

4. Dial in their time.

5. Track their time using a laptop or desktop computer

6. Use the web-based app through their smartphone.

Thereafter, the payroll department can simply approve it and submit the information into the payroll system. It’s a more efficient and accurate way to track employee time.

Tracks Time and Jobs For The Entire Crew

Any business that needs to track a lot of staff simultaneously will find this feature particularly useful. The TSheets crew app enables managers to clock in an entire team of employees at the same time. This makes it far easier to assign tasks and create projects and cost reports. Management will also benefit from greater accuracy in terms of project duration, which puts you in a much better position to predict future costs so you can submit bids with a higher degree of precision.

DOL and DCAA Compliant Timesheets

Today, businesses are faced with legal action if employees feel that they haven’t been remunerated correctly for the hours they’ve worked. The TSheets platform diminishes such risk because its timesheets are DOL and DCAA compliant. The software enables employers to review timesheet logs for their workers to show precisely when they clocked in and out. It can also show where they were at the time if the GPS tracking feature is enabled.

TSheets Pros

You can also take advantage of the comprehensive business insight that’s readily available at your fingertips.

“It’s incredibly user friendly. We have a complex company setup, our needs are very lengthy, but no matter what we’ve thrown at them… they have catered to us and made it work! The platform is flexible enough to seamlessly fit our needs.”

Excellent Customer Service and User Support

Another element that puts TSheets ahead of so many other companies and platforms on the market is the customer service they offer and support for its users.

Some of the great customer service features include:

  • The Small Business Resource Centre – This provides lots of helpful information on how to gain maximum benefits from TSheets. Use this resource to develop effective business strategies or stay organized.
  • Webinars and Training – Gain access to training courses that deal exclusively with TSheets and learn how you can leverage the system to drive business growth through useful tips.
  • Direct Contact Getting in touch with a TSheets customer service representative is a quick and easy process. You can either call in or use the live chat feature to resolve any issues.
  • Knowledge Base – There is also a very helpful knowledge base that’s packed with plenty of useful information at your disposal. Any topic you can think of that’s related to TSheets or time tracking is likely available in great detail within the extensive Knowledge Base.

“A great customer support team goes a long way. We now have to deal with bots and people reading scripts overseas that I get overwhelmed having to call for support, but not with TSheets. They talk to you like an actual human being. They are friendly, knowledgeable, and efficient.”

Integration With Popular Accounting Tools

TSheets offers seamless integration with a number of accounting platforms. Whether it’s bookkeeping, payroll, invoicing or expense tracking, TSheets not only increases efficiency but it also enhances the accuracy of your other business areas. A few of the accounting tools that TSheets directly integrates with are (this is not an exhaustive list):

  • Quickbooks
  • Sage
  • Xero
  • Gusto
  • ADP

There are numerous other options as well.

“If it does not import correctly it is hard to get support. If you call TSheets they tell you its quickbooks and vice versa. It is not easy to configure the quickbooks side unless you are good at mapping for job classing and certified payroll.”

“I love the fact that Tsheets integrates with Quickbooks desktop. We use the data for both payroll and invoicing, which saves us hours each week.”

Employee scheduling has never been easier than it is with TSheets. You can automatically update workers remotely by accessing their location and then adding jobs that are close to their current position to their schedules. To alert staff about the updated schedule you can either send push notifications or text messages.

“Part of the scheduling is really nice, I like that it will send shift reminders to the employees. Also our finance and departments heads can go back and use data for metrics from the schedule.”

Customized alerts

The customizable alerts feature from TSheets is the perfect complement for Scheduling. It gives you the ability to notify workers when for example:

  • They need to clock out at the end of the day.
  • They are required to switch job codes.
  • They are approaching overtime.

As a result, you won’t need to worry about miscalculations when it’s time to pay out wages.

TSheets Cons

The Pricing

TSheets is pretty pricey compared to similar competitor solutions, such as Jibble. The prices quickly escalate from free to expensive, mainly because of the monthly base fee that is added to every price plan. Existing prices are broken down as follows:

  • For 1 user, the service is free.
  • For 2 to 99 users, it is priced at $8 per user per month in addition to a $20 base fee.
  • For more than 100 users, the base fee increases to $100 plus an extra $5 per user per month.

“I think the overall price could come down. When compared to some of TSheets competitors, they do fall just a little short in my opinion.”

No Future Time Functionality

It isn’t possible to enter future time for employees via the Timesheet Editor. Anytime you attempt to do this a pop-up message will appear that states “You’re not allowed to create timesheets in the future”. While it’s understandable to try and diminish the likelihood of mistakenly billing for future time, such a feature would be extremely useful for managers who need to create work schedules for the coming weeks.

Mobile App Bugs

Many users regularly report to having issues with the mobile app. A lot of the problems are related to the app failing to correctly clock employees in. This is incredibly concerning considering the fact that effortless and accurate time tracking is one of the platform’s main selling points.

“It saves a lot of work. However, we’re still working out the bugs on each of the guys phones…They either can’t clock in or out or their location isn’t showing”

The reports offered by TSheets commonly cause issues for users. While you have access to lots of graphs they are more confusing than they are useful, especially when you are using the customer and project totals over different timeframes.

“Reports are definitely a down side… They are full of graphs that are confusing rather than informational. But the main payroll report and approval reports work great. Just gets a little stressful when pulling up project/customer totals over different time frames.”

Admin View Issues

While the overall user interface has a clean design and is easy to use, there are some issues with the admin view in particular. Users are especially frustrated with the drop-down menu feature, which makes navigation much harder than it needs to be.

GPS Tracking Doesn’t Note Arrival Time

An employee’s arrival time is not automatically registered on the platform. Users are still required to log in to TSheets before their time can be tracked, which doesn’t solve the problem of people forgetting to log in.

“GPS does not track the arrival time since cannot start until person logs into TSheets. Staff that are late say they forgot to log in. It would be good to have an option so we could track as per the scheduled start time for each employee.”

Batch Editing

TSheets doesn’t come with batch editing functionality for employee time entries. Because each entry is considered a ‘timesheet’ in and of itself, whenever a staff member inputs the incorrect job you have to go to each entry and open it to make edits and resolve the issues.

The Bottom Line

TSheets doesn’t come equipped with the same level of project management elements as other time tracking solutions, but still comes in at a higher price point. The software could also do with improvements to areas such as future time and reports in addition to concerning issues with the mobile application. However, the platform is generally easy to use, has good customer support and integrates with numerous other tools. For its ability to track time, productivity and other billable components, TSheets is a handy tool.
